Reporting overview

Create, modify, export, and review reports in ShareGate Protect

Reporting is a core ShareGate Protect feature with many app elements that open ready-made reports so you can review detailed information about your tenant's configuration.

On the Reporting page, you have access to several pre-made reports that you can modify, create your own from scratch, and export your reports as CSV files to further analyse and share them.

Pre-made reports

Pre-made report templates are available on the Reporting page, organized into 3 categories:

Oversharing and security

  • Public groups: Lists Microsoft 365 groups visible to everyone in the organization.

  • Workspaces with EEEU access: Flags content shared broadly within the organization.

  • Workspaces with sharing links: Lists sites with anonymous, org-wide, or direct sharing links.

  • Sharing links: Finds files and folders shared using anonymous or company-wide links.

  • Groups with guests: Lists Microsoft 365 groups that allow guest access.

  • External guests: Identifies guests with access to internal workspaces.

Sprawl and lifecycle

  • Inactive workspaces: Identify unused workspaces.

  • Ownerless groups and teams: Find groups and teams without an active owner.

Access and permissions

Create a report

To create a new report, Select Reporting from the sidebar and click on Create report.

When you click on Create report, you can select one of 5 different tenant elements:

  • Sites: Lists SharePoint sites in the tenant.

  • Groups: Lists Microsoft 365 Groups in the tenant.

  • OneDrive: Lists OneDrive for Business accounts in the tenant.

  • Sharing links: Lists the sharing links created in the tenant.

  • Users: Lists the users in the tenant.

Once you select your base object, you can build your report with filters and columns.

Save a report

Saved reports preserve your selected filters and column configuration.

You can save a report in two ways:

From a new custom report

Once you've selected your base object and configured your filters and columns, you can click the pencil icon next to its title to give it a new name, then click Save.

From a pre-made report template

Once you've customized the filters and columns, click the pencil icon next to the title to give it a new name, then click Save. This creates a new report without changing the original template.

From Detailed report views on other ShareGate Protect pages

You can also save new reports from detailed report views on the Overview and Tenant Info pages.

Once opened, you can modify them and click on Save as custom report at the top of the list to create a new report.

Note: You can only rename a report from a detailed report view after you have saved it once.

Manage your saved reports

To manage your saved reports, go to the Saved custom reports section on the Reporting page.

From there, you can:

  • Edit a report's name, filters, or columns

  • Duplicate a report to use as a starting point for a new one

  • Delete a report you no longer need

Each ShareGate Protect user can have up to 100 saved custom reports.

Note: Saved reports are personal and can't be shared directly with other users. To share report data, use the Export option (see below) to download it as a CSV file.

Export a report

You can export any ShareGate Protect report to share data or use it with other tools. ShareGate Protect exports reports as a broadly compatible CSV file.

To export a report:

  1. Open the report you want to export:

    • From the Overview/Tenant info page: click a data point to open its detailed report.

    • From the Insights page: click an insight’s details.

    • From the Reporting page: open a report template or create a custom report.

  2. Click Export.

  3. Stay on the page until the export is finished.

    • The time to export the report will vary depending on tenant size and complexity. It can take minutes if you have a very large tenant.

  4. When the export is complete, the file is available from your browser’s Downloads.

Export format

CSV only.

Filename

  • Format: [ReportName]_[Date]_[Time].csv

  • The date format follows your browser language settings.

  • The report's name is based on the tenant object you're reporting on.

Columns and data

  • The export includes the same columns as the report you see in Protect.

  • Some values are adjusted to be easier to read outside the app.
