The migration assessment helps you understand the scope of your Microsoft 365 migration project, enabling you to plan it with confidence.
With an assessment, you can obtain detailed information about your tenant's workspaces, including SharePoint and Exchange Online. You will find details such as the number of files and their sizes, as well as privacy settings, etc.
Required permissions and access
The Migration Assessment is currently only available to select partners with a ShareGate Migrate subscription.
A global or privileged role admin must once consent to a set of Microsoft 365 permissions to install the necessary Entra Enterprise app.
The admin can then grant access to any user through an Assessor role for ShareGate Protect in their Microsoft Entra admin center.
We cover consent to the Microsoft 365 permissions and assigning the Assessor role in the first-time access steps below.
Access the assessment
If you do not already have an account on the target tenant, ask a global admin to set one for you.
It can be an unlicensed account, or they can invite you as an external user.
You will be required to follow a few extra steps to log in with an external user account.
Once you have an account on the tenant, access ShareGate's migration assessment through the Partner portal's Asset Library.
Sign in to your ShareGate account.
Sign in to your existing account, or start a 15-day trial to create a new account.
Launch the Migration assessment.
Select your data residency, North America or Europe, from the dropdown in the top right corner.
Select Microsoft 365.
Click Connect with Microsoft.
Sign in with your account.
If you are not a global admin or privileged role admin, share the link in the Request access box with the global admin or privileged role admin so they can consent to the required permissions and grant you the assessor role to use the assessment.
If you are a global admin or privileged role admin, select Accept permissions and assign yourself as Assessor.
Steps are provided to complete these tasks when you or an admin clicks their respective link.
Once consent is given and the assessor role is assigned to your account, you can finish signing in to the Microsoft 365 migration assessment, and you are taken to the Overview page.

Export your assessment
You can click Export to download your entire assessment as a Zip file. Once uncompressed, you will find a folder with a separate CSV for each of the following items:

Overview page
Tenant level
Find an overview of the tenant's overall size, the number of users, and the data volume distribution between the SharePoint sites, OneDrive for Business, Teams, and Exchange Online.
Key points
A list of key items for your tenant's migration. You can click on the Review link to access detailed information about a key point.
The link directs you to the associated assessment page, where the relevant options are already selected.
Users page
All users
A list of all the users with information about their email address, user type, and whether they are licensed in Microsoft 365.
Unlicensed
When selected, it displays only users who don't have a license, along with relevant information and suggestions for their migration.
Guests
When selected, it displays only guest users, along with relevant information and suggestions for their migration.
Exchange page
All mailboxes
A list of all the Exchange Online mailboxes with information about their type, content size, and email count.
You can find a summary of the total storage used and the size distribution between the different email types.
Larger than 10 GB
When selected, it displays only mailboxes larger than 10 GB, along with relevant information and suggestions for their migration.
OneDrive page
All OneDrives
A list of all your OneDrive accounts with information about their last activity date, content size, and file count.
Larger than 10 GB
When selected, it displays only OneDrive accounts larger than 10GB, along with relevant information and suggestions for their migration.
With more than 10,000 files
When selected, it displays only OneDrive accounts that contain more than 10,000 files, along with relevant information and suggestions for their migration.
Inactive accounts
When selected, it displays only OneDrive accounts that have not been active in the last 180 days.
SharePoint page
All sites
A list of all your SharePoint Online sites with information about the template they use, owners, last activity date, content size, file count, if they are connected to a team, and if they are a hub site.
Larger than 10 GB
When selected, it displays only SharePoint sites that contain more than 10 GB of content, along with relevant information and suggestions for their migration.
With more than 10,000 files
When selected, it displays only SharePoint sites that contain more than 10,000 files, along with relevant information and suggestions for their migration.
Inactive sites
When selected, it displays only SharePoint sites that have not been active in the last 180 days, along with relevant information and suggestions for their migration.
Teams page
All teams
A list of all your Microsoft Teams teams with information about their owners, last activity date, privacy setting, total size of their content, number of members, the number of public, private, and shared channels they contain, and if they were archived.
Larger than 10 GB
When selected, it displays only teams that contain more than 10 GB of content, along with relevant information and suggestions for their migration.
With over 50 members
When selected, it displays only teams that have more than 50 members, along with relevant information and suggestions for their migration.
Inactive
When selected, it displays only teams that have not been active in the last 180 days, along with relevant information and suggestions for their migration.
Orphaned
When selected, it displays only teams that have no owners to manage them, along with relevant information and suggestions for their migration.
