Overview
Last activity reflects the most recent recorded activity for a workspace, pulled from every relevant Microsoft 365 signal for the underlying workload. A workspace can be a Microsoft Teams team, a Microsoft 365 group, or a standalone SharePoint site, so the available signals vary depending on what backs it.
A team is backed by a Microsoft 365 group and has its own SharePoint site, so it draws from every signal below. A standalone SharePoint site, with no group or team behind it, only has SharePoint signals to draw from.
In all cases, ShareGate Protect takes the single most recent timestamp across every available signal for that workspace. You can see this value in the Reporting section, listed as the Last activity column. See Reporting - Filters and columns for details on filtering by this column.
Teams
For every channel on the team, standard and private, ShareGate Protect looks at the most recent messages and their most recent replies. It takes the newest timestamp among:
A message's created or edited time.
A reply's created or edited time.
The most recent reaction.
When a tab was added.
Note: Only activity from a real user counts. System events, such as a member joining or a bot posting, are ignored.
Groups
Group calendar
The start time of the most recent non-cancelled event, within a three-year window ending at the current date. Future-dated events don't count.
Group mailbox
The last delivery time of the group's most recent conversation.
SharePoint and OneDrive
ShareGate Protect uses two signals for SharePoint sites:
The LastActivityOn value Microsoft maintains for the site collection. This isn't an official Microsoft API, but it's the same aggregated value the SharePoint admin center shows per site, and it reflects a broad range of activity, including file views, edits, and shares. If this value is empty, ShareGate Protect falls back to the site's creation date.
The last time someone changed content in the site itself, based on SharePoint's own last-modified-by-a-user timestamp.
Note: For OneDrive, ShareGate Protect only uses the last-modified-by-a-user signal. The Microsoft-maintained LastActivityOn value isn't available for OneDrive.
