Archive SharePoint workspaces (sites, groups, and teams) directly from ShareGate Protect using Microsoft 365 Archive.
Microsoft 365 Archive is a cost-effective storage solution for inactive content. It preserves permissions, labels, and retention policies. Added to ShareGate Protect's capabilities, you can effectively:
Reclaim SharePoint storage without permanently deleting content.
Reduce governance overhead by removing inactive content from your active environment.
Lower security risk by limiting the surface area of unmanaged content.
Improve Microsoft Copilot and AI result quality by removing outdated or redundant content.
Retain content as-is for legal or compliance requirements.
Note: Archiving workspaces in ShareGate Protect requires Microsoft 365 Archive to be activated in your tenant.
To set up Microsoft 365 Archive in your tenant, see Microsoft's article Set up Microsoft 365 Archive.
Prerequisites
A global or privileged role admin must consent to the Microsoft 365 permissions required for governance actions, and Microsoft 365 Archive must be active in your tenant.
To set up Microsoft 365 Archive, see Microsoft's article Set up Microsoft 365 Archive.
To get consent to the Microsoft 365 permissions, see How a global or privileged role admin can consent to ShareGate's Microsoft 365 permission sets.
Tip: If you have global or privileged role admin permissions, you'll be prompted to consent to the Microsoft 365 permissions when you use the archive feature or any other remediation action in ShareGate Protect.
How to archive a workspace
Access any workspace report through the Reporting page or the details from some items on the Tenant info and Insights pages.
To archive a single workspace, select the three dots in the row for the item you want to archive.
To archive multiple workspaces, select them with a checkmark and click on the Bulk actions button that appears at the top of the list.
Select Archive... from the dropdown.
A confirmation prompt will appear (as long as Microsoft 365 Archive is available on your tenant and the remediation permissions are consented to) with information about the number of workspaces you are archiving and the total size of storage space they use.
Click the Archive button.
How to restore an archived workspace
You can restore archived workspaces at any time via the Microsoft 365 admin center.
To learn how to restore an archived site, see Microsoft's article, Manage Microsoft 365 Archive.
