How to grant access to a user outside of your organisation

Share ShareGate's assessments with outside help

If you need outside help with your migration project or tenant governance, ShareGate Protect assessments are an excellent way for them to scope your environment(s) quickly.

Assessment access is shared through an Assessor role you can grant in Microsoft 365.

You can either create an unlicensed user account in Entra ID to grant that role or grant it to an external user who must go through a few extra steps to sign in.

Prerequisites

  • You have global admin or privileged admin permissions.

  • You have already consented to the assessment permissions.

  • Your user has a valid ShareGate account and subscription.

Grant access to a new unlicensed user account on your tenant

  1. In the top menu, select Add user.

  2. Enter login information for the new user.

  3. Click Next.

  4. Select Create user without product license. Your new user won't need a license to use the assessments.

  5. Review optional settings as needed.

  6. Click Next.

  7. Review your new user's parameters.

  8. Click Finish adding.

  9. Reveal and copy the password if you selected to create a password at step (3) automatically.

  10. Click Close.

  11. Select Entra ID to expand it in the sidebar menu.

  12. Select Enterprise apps.

  13. Select ShareGate Protect from the list of apps.

    1. You must have consented to the appropriate permissions to see ShareGate Protect. You can follow the flow to access the assessment as a global admin and consent to these permissions.

  14. Select Users and groups.

  15. Click +Add user/group in the top menu.

  16. Click None Selected under Users.

  17. Find your new user account and select it.

  18. Click Select.

  19. Click None Selected under Select a role.

  20. Select the Assessor role in the menu at the right.

  21. Click Select.

  22. Click Assign.

Your new user can now access the assessment in ShareGate Protect when they sign into the Microsoft 365 tenant with the new account's email and password.

Grant access to an external user (with extra steps to sign in)

  1. Select Users in the sidebar menu.

  2. Select +New user in the top menu.

  3. Select Invite external user from the dropdown.

  4. Enter the external user's information.

  5. Click Review + invite.

  6. Click Invite after reviewing the information.

  7. Select Enterprise apps from the main sidebar menu.

  8. Select ShareGate Protect from the list of apps.

    1. You must have consented to the appropriate permissions to see ShareGate Protect. You can follow the flow to access the assessment as a global admin and consent to these permissions.

  9. Select Users and groups.

  10. Click +Add user/group in the top menu.

  11. Click None Selected under Users.

  12. Find your new user account and select it.

  13. Click Select.

  14. Click None Selected under Select a role.

  15. Select the Assessor role in the menu on the right.

  16. Click Select.

  17. Click Assign.

Signing in with an external user account

If you are an external user with the Assessor role, you can sign in to ShareGate Protect with a valid subscription, select the assessment to run, and when you're prompted to sign in to your Microsoft 365 account, follow these steps:

  1. Click Sign in with Microsoft.

  2. In the Pick an account menu, select + Use another account.

  3. Select Sign-in options.

  4. Select Sign in to an organization.

  5. Enter the tenant you want to assess's domain.

  6. Select the user account with the assessor role granted to it.

  7. You'll be taken to the assessment.
