Apply purpose tags and sensitivity tags manually

Use purpose tags to categorize teams and groups by their business purpose. Use sensitivity tags to categorize data by sensitivity level and apply the right security settings.

You can apply or change purpose tags and sensitivity tags from the Manage page.

Tips:

  • Create purpose tags and sensitivity tags suited to your organization's needs. For more information, see Create and edit purpose tags and Create and edit sensitivity tags.

  • Use tags to apply the best governance policies. For example, set a custom inactivity threshold for purpose tags or create a custom external sharing review cycle for sensitivity tags.

Index

Individual team or group

To add tags to a single team or group that does have any applied:

  1. Select Manage from the sidebar.

  2. Choose between your tenant's Teams or All Groups.

  3. Search for the team or group.

    • Use the Search by team/group or owner field or Filters.

  4. Select the team or group to open their team and group details.

  5. Click Choose a sensitivity.

  6. Select the right sensitivity tag from the menu.

  7. In the Overview tab, click Add a purpose.

  8. Select the right purpose tag from the dropdown

Change an existing tag

You can change the tags for teams and groups that currently have a purpose or sensitivity tag applied.

  1. Follow steps (1) to (4) above.

  2. Click the current sensitivity tag to open the menu.

  3. Select the new sensitivity tag.

  4. Click the current purpose tag to open the menu.

  5. Select the new purpose tag.

For example, a team may have the sensitivity tag Confidential and the purpose tag Department:

Tip: Apply quick-filters to your team or group list with the Teams/Groups without purpose or Teams/Groups without sensitivity tiles. For more information, check out What can I do with the tiles?

To add sensitivity tags to several teams or groups at the same time:

  1. Select Manage from the sidebar.

  2. Choose between your tenant's Teams or All Groups.

  3. Select the checkbox beside the team or group names.

  4. From the bulk action bar, select Add sensitivity tag.

  5. Select the right sensitivity tag from the menu.

  6. Click Confirm in the pop-up.

To apply multiple purpose tags, repeat steps (1) to (6), but select Add purpose tag from the bulk action bar.

Automate and collaborate

ShareGate can help you collaborate with team and group owners by automatically asking them to apply a purpose tag or sensitivity tag when creating new teams or groups.

To automate with our chatbot, toggle on Automatically ask owners from the Settings.
