Use the Reduce costs insights to see the real dollar value of license and storage inefficiencies in your Microsoft 365 tenant.
ShareGate Protect surfaces these in a dedicated Reduce costs category in Insights, so you can prioritize cleanup projects based on financial impact and build a clear ROI case for stakeholders.
On the Overview page, the Reduce costs card shows your total potential monthly savings. Insights within the category are ranked by financial impact, with the largest savings shown first.
License insights
Inactive licenses
ShareGate identifies licenses assigned to users who have not signed in for more than 30 days. For each matching license, you can see:
Cost per license assignment
Cost per license SKU
Total cost of all matching licenses
Unallocated licenses
ShareGate identifies license SKUs that have seats with no users assigned. For each, you can see:
Total cost of unassigned seats per SKU
Total cost of all unassigned licenses across the tenant
Storage insights
Inactive sites
ShareGate identifies SharePoint sites and Teams workspaces that have had no activity in the last 180 days. Each inactive site shows total storage consumed (in GB). If your tenant is over its base storage quota, ShareGate also shows the potential cost savings from cleaning up these sites.
Orphaned OneDrives
ShareGate identifies OneDrives with no active owner. Each orphaned OneDrive shows total storage consumed (in GB).
Note: If there are no storage savings to show (for example, your tenant is under its base storage quota and has no orphaned OneDrives), these insights are hidden from the Reduce costs category.
License reports
Cost Quantification adds two new report templates under the Licenses filter in the Reporting page:
License inventory — lists all licenses currently available in your tenant
License assignment — lists all users and their assigned licenses
Things to know
Costs are displayed in USD only, based on publicly available Microsoft commercial pricing. Custom or reseller-negotiated prices are not reflected.
Expired licenses are excluded from all cost calculations.
Storage costs are calculated at $0.20/GB above your tenant's base storage quota. Archived site storage is included in the consumption figures.
If your total Reduce costs savings are less than $50/month, the category is deprioritized on the Overview in favor of other insight categories.
If potential savings are $0, the Reduce costs category is hidden from the Overview entirely.
SKU coverage expands over time. Only SKUs with cost data in the current pricing list are included in calculations.
