Licenses report

The Licenses report in ShareGate Protect provides visibility into all Microsoft 365 licenses available in your tenant and how they are assigned to users.

Accessing the Licenses report

To access the Licenses report:

  • Select Tenant info in the ShareGate Protect sidebar menu.

  • Click View report in the Licenses box.

What the Licenses report shows

The report displays a list of all Microsoft 365 licenses in your tenant along with key allocation details.

The report includes:

  • License Product name

  • Total purchased

  • Total assigned

  • Total unassigned

  • Copilot included

  • SKU (hidden by default)

  • Expired (hidden by default)

  • Status (hidden by default)

You can use the available filters and sorting options to quickly identify licensing trends across your tenant.

Accessing the Assigned Licenses Report

To review which users have been assigned a specific license:

  • Click on a value in the Total assigned column from the Licenses report.

  • The report opens a filtered list of all Microsoft 365 users assigned to that license.

What the Assigned Licenses report shows

The Assigned licenses report includes:

  • User display name

  • License product name

  • Assigned by

Additional columns can be added for more advanced reporting. These include user properties such as department, job title, email, user type, status, last sign-in date, owned sites, and member sites, as well as license details such as license SKU, total purchased licenses, total assigned licenses, total unassigned licenses, and Copilot status.

From this report, you can:

  • Filter by user or license properties

  • Identify inactive users using metrics such as last sign-in date

  • Analyze how licenses are distributed across users

Note: Assigned license and Last sign-in details are now also available from User reports as additional columns and filters.

Limitations

The Licenses report provides visibility into license inventory and assignments, but does not currently include license management capabilities.

The following actions are not supported:

  • Changing license assignments

  • Purchasing additional licenses

  • Viewing license pricing or spending

  • Tracking usage or activity associated with a license
