Create a team template

Templates let you define the structure and settings of new teams created by your end-users with ShareGate's end-user app.

How to create a team template

Basics

  1. Select Provisioning from the sidebar.

  2. Click Create template.

  3. Select Team from the dropdown.

  4. Enter a template name.

  5. Add a template description (optional).

  6. Click Next.

Requirements

  1. Select a minimum number of owners for teams created with this template.

  2. If desired, add a naming convention (prefix or suffix) to new sites created with this template.

  3. If desired, click the toggle to require approval for teams created with this template (disabled by default).

  4. If activated:

    1. Start typing the name of a co-worker you wish to assign as an approver, then select their name from the drop-down list that appears.

    • Try to add several template approvers. It only takes one response to complete a team creation request.

    • You must add yourself as an approver to approve team creation requests.

  5. Select Next.

Note: If your tenant has group creation restrictions, your co-workers can only use templates that require approval.

Security settings

  1. Select a privacy level for teams created with the template.

  2. Select an external sharing setting for teams created with the template.

  3. Select whether or not to allow guest access for teams created with the template.

  4. Select Next.

SharePoint

  1. Optionally click the toggle to attach an active SharePoint site as a blueprint.

  2. If activated:

    1. Start typing the name of the desired SharePoint site, then select from the drop-down list that appears.

      • Select View site at any point to view the SharePoint site in your browser.

    2. Select whether you want the template to copy the blueprint site's Structure only or its Structure and Content.

  3. If desired, click the toggle to associate provisioned sites with a hub site.

  4. If activated:

    1. Click the drop-down and select the desired hub site from your tenant.

      • If a hub site is enabled, SharePoint sites created via your template inherit the hub site's navigation structure and style settings.

      • If an enabled hub site is deleted, a notification appears on the Provisioning page.

  5. Select Next.

Tip: Consider creating a site (or several sites) in SharePoint online specifically to be used as blueprint sites. Tailor those sites with the structure and content you want your organization's provisioned teams to have by default.

Channels

  1. Select Add channel to add default channel(s) for teams created with the template.

  2. Enter a channel name.

  3. Select a channel privacy level (public or private).

  4. Add a description (optional) for the channel(s).

  5. Select Create template to create your template.

When finished, you return to the Provisioning page.

Note: If this is your first time using ShareGate Provisioning, see ShareGate's end-user app overview for admins.

Tips

  • Use the Back and Next buttons to navigate the template creation pages.

  • If you refresh your web browser or exit template creation, your progress is not saved.

  • Once created, you can find your template on the Provisioning page. Click the Edit pencil icon to make adjustments at any time.

  • Provisioning actions such as template creation and team creation from a template are shown in your activity log.
