Create a SharePoint site template

Templates let you define the structure and settings of new SharePoint sites created by your end-users with ShareGate's end-user app.

How to create a SharePoint site template

Basics

  1. Select Provisioning from the sidebar.

  2. Click Create templates.

  3. Select SharePoint site from the dropdown.

  4. Enter a template name.

  5. Add a template description (optional).

  6. Click Next.

SharePoint

  1. Select a SharePoint site type from the following:
    โ€‹

    • Team site (no Microsoft 365 group connection)

    • Communication site

    • Team site (with a Microsoft 365 group connection)

  2. Optionally click the toggle to attach an active SharePoint site as a blueprint.

  3. If activated:

    1. Start typing the name of the desired SharePoint site, then select from the drop-down list that appears.

      • Select View site at any point to view the SharePoint site in your browser.

    2. Select whether you want the template to copy the blueprint site's Structure only or its Structure and Content.

  4. If desired, click the toggle to associate provisioned sites with a hub site.

  5. If activated:

    1. Click the drop-down and select the desired hub site from your tenant.

      • If a hub site is enabled, SharePoint sites created via your template inherit the hub site's navigation structure and style settings.

      • If an enabled hub site is deleted, a notification appears on the Provisioning page.

  6. Click Next.

Requirements

  1. Select a minimum number of owners for SharePoint sites created with this template.

  2. If desired, add a naming convention (prefix or suffix) to new sites created with this template.

  3. If desired, click the toggle to require approval for sites created with this template (disabled by default).

  4. If activated:

    1. Start typing the name of a co-worker you wish to assign as an approver, then select their name from the drop-down list that appears.

    • Try to add several template approvers. It only takes one response to complete a site creation request.

    • You must add yourself as an approver to approve team creation requests.

  5. Click Create template.

When finished, you will be taken back to the Provisioning page.

Note: When a SharePoint site is created via a template, ShareGate automatically creates a corresponding Microsoft 365 group and team for the site. The provisioned SharePoint site, group, and team will all have the same name.

Tips

  • Use the Back and Next buttons to navigate the template creation pages.

  • If you refresh your web browser or exit template creation, your progress is not saved.

  • Once created, you can find your template on the Provisioning page. Click the Edit pencil icon to make adjustments at any time.
