The Copilot Readiness Assessment crawls your tenant, collects data about workspaces with shareable links, and provides guidance for understanding how sharing can affect Microsoft Copilot.

Workspaces with shared links report

The Workspaces with shared links page displays workspaces that contain sharing links filtered according to the key data point you selected and provides information about how this sharing may affect Copilot.

Note: The Copilot Readiness Assessment details shareable links for Teams, Groups, and OneDrive for Business workspaces. SharePoint sites not connected to Microsoft 365 groups and Teams private and shared channels are not included in shared access details.

These are the key point versions of the Workspaces with shared links report:

  • Anyone links: Workspaces with content anyone can access with a link.

  • People in your organization links: Workspaces with content anyone in your organization can access with a link.

  • Specific people links shared internally: Workspaces with content designated people in your organization can access with a link.

  • Specific people links shared externally: Workspaces with content designated people outside your organization can access with a link.

For each version, the page displays:

  • The percentage of the selected key point links.

  • The potential risks of the selected key point links.

  • Suggested actions to mitigate the potential risks of the selected key point links.

  • A report of all the workspaces that contain the selected key point links.

How to access the report

To access the Workspaces with shared links report, select the Data security tab and click on the desired sharing links key point.

You can also find the report by selecting relevant key points in the Overview tab.

Once you click on the desired key point, you are taken to a filtered version of the report.

It contains the names of the workspaces that contain the specified sharing link type and all the types of sharing links they contain.

Click Export to save the report as a CSV file. The CSV file includes the following columns:

  • Workspace name

  • Workspace URL

  • Workspace ID

  • Workspace type (Group, Teams, OneDrive)

  • Owners

  • Total owners

  • Created At (date and time)

  • Updated At (date and time)

  • Anyone links (count)

  • People in your org links (count)

  • Internal people links (count)

  • External people links (count)

  • Guests (count)

The sorting and search results in the CSV are the same as in the on-screen report when the report was exported.

Review shared links and guest access in Workspace details

Click on any workspace name in the report to find that workspace's sharing details.

The Workspace details page has the two following tabs:

  • Sharing links - Displays all the files shared with links in the selected workspace.

  • Guests - Displays external users with access to the workspace (Groups and Teams only).
