3. Test ShareGate Protect

Now that you're familiar with how to navigate ShareGate Protect and what it has to offer, we suggest experimenting with ShareGate's features to gain some first-hand experience.

Create your own team and/or group to use exclusively for testing. As the owner, you'll have end-to-end visibility into what ShareGate can do.

Tip: Always know that ShareGate will not send notifications to team or group owners unless that action is explicitly set up (ex., a policy is automated).

How-to

Option 1 - Create your own test team and/or group

Create a team and/or group that will be used exclusively for testing.

As the test team and/or group owner, you'll have end-to-end visibility on the collaboration process. Feel confident deploying ShareGate's automated features to your organization since you already know the flow.

Tip: Use this team or group to discover the different parts of the team and group details.

Option 2 - Use a test group

To test the collaboration experience, select a subset of your environment.

Hint: Get the best feedback on your tests by choosing team and group owners who are Power Users.

When you're satisfied with the collaboration process, set up ShareGate's automated features for your entire organization.

Ask owner(s)

The Ask owner(s) feature lets you manually send a ShareGate teams chatbot notification or email to any team or group owner (or several as a bulk action!).

You can send a notification asking owners to take action on inactivity, apply purpose tags or sensitivity tags, and review external sharing links and guest access.

Since the Ask owner(s) feature allows for so much granularity, you can use it to test the collaboration flow and experiment with ShareGate.

Tag test

  1. Select Manage from the sidebar.

  2. Choose between your tenant's Teams or All Groups.

  3. Select the tile Teams/Groups without purpose or Teams/Groups without sensitivity.

  4. Check the box beside the team or group name(s) you want to use for the test.

  5. Click Ask owner(s) in the bulk action menu.

  6. If you have not yet activated the ShareGate Teams chatbot, follow the prompts to activate it now.

  7. In the pop-up, click Ask owner(s).

The notification is sent within 1-3 hours of the Ask owner(s) action. For more information, see the Purpose tag and sensitivity tag notifications.

Inactivity test

Note: If you've recently made a separate test team or group, there is the chance it may be active! In the meantime, try another test or use a different team or group (one that is inactive).

  1. Select Manage from the sidebar.

  2. Choose between your tenant's Teams or All Groups.

  3. Select the tile Inactive teams/groups.

  4. Check the box beside the team or group name(s) you want to use for the test.

  5. Click Ask owner(s) in the bulk action menu.

  6. If you have not yet:

    • Selected your Azure storage - Choose ShareGate storage or follow the prompts to set up a custom storage account now. For more information, see Azure storage options for archiving.

    • Selected a communication method for your owners - Choose Microsoft Teams chatbot or email in the pop-up.

    • Activated the ShareGate Teams chatbot - If you choose our chatbot, follow the prompts to activate it now.

  7. In the pop-up, click Ask owner(s).

The notification is sent to the owner(s) as soon as possible. For more information, see Inactivity detection policy notifications.

External sharing link and guest access review test

Note: Before starting this test, create and share a sharing link to a document and add a guest to your test team or group. You'll need to wait until ShareGate has crawled your environment and detected this link or guest. You can proceed with the test once the sharing link and guest appear in ShareGate Protect.

  1. Select Manage from the sidebar.

  2. Choose between your tenant's Teams or All Groups.

  3. Select the tile Teams/Groups with guests or shared links to review.

  4. Check the box beside the team or group name(s) you want to use for the test.

  5. Click Ask owner(s) in the bulk action menu.

  6. If you have not yet:

    • Selected a communication method for your owners - Choose Microsoft Teams chatbot or email in the pop-up.

    • Activated the ShareGate Teams chatbot - If you choose our chatbot, follow the prompts to activate it now.

  7. In the pop-up, click Ask owner(s).

The notification is sent to the owner(s) as soon as possible. For more information, see External sharing review notifications.
