Bulk edit content

Bulk Edit Content allows you to modify all your metadata and content types within a list or library with one procedure.

Note: A new version is created when applying changes to an item in a list when versioning is activated.

Prerequisites

Note: Site collection admin permissions are required even if you have higher admin privileges like SharePoint admin or Global admin permissions. For more information, see Microsoft administrative permissions.

How-to

  1. Select an item on the Explore screen.

  2. Click Bulk edit content in the Quick actions menu.

  3. Select the list or library (if you drilled down to a list or library on the Explore screen already, skip this step).

  4. Verify your mapping options by clicking Mappings.

  5. Select one, multiple, or all items from the list or library.

  6. Click Next.

  7. You will now see the Bulk edit options screen.

  8. Modify your general options, metadata, and filter options as desired.

  9. Click Bulk edit.

  10. The task will now run.

    • In the case that there are warnings or errors, they will be displayed with details in separate tabs near Results.

Export Metadata and Import & Edit

Bulk editing can also be done using the import and export options.

  1. From the Select content screen, click Export metadata.

  2. Select a file location to save your file (you can save it as a .xlsx or .csv).

  3. Open your file, and edit it as needed.

  4. Once you are done, save the file with the changes.

  5. Return to the same screen in-app, and click Import & edit.

  6. You can make further edits on the Bulk edit options screen if needed.

  7. Click Bulk Edit.

Mappings

Property Mappings

You can modify the source properties to map the value of that property to the defined destination properties.

By default, all properties with the same name are automatically mapped together. To change a mapping or to create a new one, simply drag and drop properties from the list of source properties to the right pane. Make sure to place them next to the desired source property.

Once saved, these mappings will be applied during the bulk edit.

Content Type Mappings

You can change the content type mapping between the source and destination when editing content in bulk.

By default, content types with the same name are automatically mapped together. To change a mapping or to create a new one, simply drag and drop content types from the list of destination content types to the left pane. Make sure to place them next to the desired source content type.

Once saved, these mappings will be applied during the bulk edit.

Users and Group Mappings

Select how you would like to map unresolved users and groups, or replace existing users in the destination.

Search for the user or group in the source and destination, and drag and drop them in the appropriate spot. Make sure to place the user or group at the source next to the user or group you are replacing at the destination.

Once saved, these mappings will be applied during the bulk edit.

Limitations

Bulk edit always uses Normal Mode, which has some unsupported actions. For instance, implementing unresolved users will result in an error as unresolved users are not maintained if you modify a list item.
